Important Exhibitor Dates

NOTE : Vacating of Space: Stands will have to be vacated under shell scheme latest by 22: 00 hrs on 26th Feb 2024. Stands will have to be vacated under Raw Space latest by 18: 00 hrs on 27th Feb 2024.

Venue, Date Timing:

The 1st edition of Maharashtra MSME Defence Expo on Land, Airspace Maritime Security Systems will be held from 24th to 26th February 2024 at Pune International Exhibition and Convention Centre, Moshi, Pimpri-Chinchwad, Maharashtra. The timings of exhibition will be as follows:

Space Booking and Payment Terms:

MSME and Start-up Applications for participation are required to be submitted online through the official website: https://maha-msmedefexpo.com along with 100% participation charges. Booking of exhibitor space will be accepted on a first-come-first-serve basis. Booking fees once paid will be non-refundable.

Booking charges:

Non-refundable Participation fee as per below chart will be charged towards exhibitor booking for Indian companies respectively.

1. Payment Schedule: Exhibitors need to pay full payment while booking through the official website.
2. Hall Layouts and Stall numbering Plans: Stall numbers and dimensions given on the exhibition layout plan are only for reference purpose and should not be used for any publicity purposes. Organizer reserves the right to change the numbering plan and/or alter the layout plans at any given time.

4. Refund Policy: No refund will be given once the payment is done for space booking.
5. Insurance: Exhibitors shall make sure that they are fully covered by insurance including, but not restricted to, all risks of their property, exhibits or articles of any kind, public liability and comprehensive protection against any loss or damage caused by any circumstance whatsoever whether by reason of fire, water, theft, accident or any other cause. 
6. Possession of Space: Possession to exhibitors taking shell scheme, possession will be given 10:00 am onwards on 21st Feb 2024
7. Stand Preparation: Stands are to be completely prepared in all respects by 1800 hrs on 22nd Feb 2024. Full Dress Rehearsal of Maharashtra MSME Defence Expo will be held on 23rd Feb 2024. No work Day to be observed on 23rd Feb.
8. Operation of Stands: No stand will remain unattended. All stands must open at least half an hour before the exhibition and shall remain open till half an hour post exhibition time on each day.
9. Storage of Empties: No empties will be stored within or behind the exhibition stands.
10. Vacating of Space: Stands will have to be vacated under shell scheme latest by 22: 00 hrs on 26th Feb 2024. Stands will have to be vacated under Raw Space latest by 18: 00 hrs on 27th Feb 2024.
11. Damages to the Hall: Exhibitors will be required to make good all damages or make payment for damages to the Halls or any structure or gardens/landscaping caused directly or indirectly by any exhibitor or by any agency employed by him.
12. Sale of Exhibits: No counter sales will be permitted during the exhibition. Exhibitors may distribute publicity material from their respective booth. Publishing and distribution of Defence Magazines is not permitted unless the Media Houses are registered as Media Partners duly paying the media partner charges.
13. Entry/Exit and passes: Entry into Exhibition site/area will be on the basis of exhibitor passes issued by the Organiser. Each exhibitor will be provided 4 passes for 09 Sqm space.

Power Charges

• Single Phase (per KVA) - 5000/ Per Day
• Three Phase (Per KVA) - 5000/ Per day

Car Pass

CAR PASS 1 for each 9 sqm

Exhibitor move in & move out process

Possession For exhibitors under shell scheme will be given 10:00 am onwards on 21st Feb 2024. Kindly check, if the following payments are fully cleared.

• Space Rental
• All other additional services ordered in Online Exhibitor Manual.
• If payments are clear, kindly proceed to booth Possession Desk

Additional Guidelines for Shell Scheme

• Exhibitors participating under the Shell Scheme would be provided a ready to move in Shell Scheme with carpet, wall panels (white color), fascia Name along with the furniture and fittings.
• Please fill Fascia Name in the online Exhibitor booking form. Fascia Name must include Full Company Name; Brand Name can be put after company name or in Bracket.
• No further construction is allowed on the wall panels, carpet or structure of the Shell Scheme. Exhibitors can display their merchandise only on the provided booth structure.
• All display, exhibits, merchandise, fittings etc. should be free standing and self- supporting to avoid damage to the panels
• Any display on the panels directly should be with easily removable self-adhesive material or two Side tapes. No nails or hooks should be used on these panels. Damages will be fully recovered from the exhibitors.

The following are strictly prohibited:

• Drilling holes or fixing nails & screws on panels, furniture, carpets and floor.
• Fixing of wallpaper or applying glue on panels.
• Use of paint or other non-erasable material on panels.
• Carrying out any type of welding work using naked flames.
• Loud noise or music.

Exhibitor Check-out:

• Exhibitors must submit to the Exhibitor check-out desk duly filled Exhibitor Exit Gate Pass with details of goods they wish to remove from the trade show premises.

Do’s & Don’ts for Shell Scheme

Do’s

• Exhibitors should take possession of their Stall as per schedule mentioned in Rules & Regulation.
• For Possession of the Stall Exhibitor Need to bring Stall Allotment Letter.
• All team members of your booth during construction period must wear, wrist band or IDs without which they will not be permitted to work at the premises.
• Empty packages of your display materials or goods must be stored in your own booth.
• Ensure that during onsite Setup of your Stall, aisles and common areas are not encroached upon and are kept completely free of obstacles.

Don’ts
